Terms and Conditions Agreement (Required)

1. Purpose of the Terms

These terms outline the rights, obligations, and responsibilities between the members (participants) and the 3RINCs 2025 Organizing Committee.

2. Membership Registration and Eligibility

Members must complete the registration form provided on the conference website and agree to the terms to be approved for membership.

Only individuals aged 18 or older are eligible for membership.

3. Rights and Responsibilities of Members

Members are entitled to access information and materials related to the conference and attend the conference upon registration.

Members must keep their registered information up-to-date and must not impersonate others.

Members are prohibited from unauthorized reproduction, distribution, or commercial use of materials distributed at the conference.

4. Rights and Responsibilities of the Organizing Committee

The Organizing Committee reserves the right to restrict or revoke membership in case of violations of the terms or inappropriate conduct by members.

The Organizing Committee may change program details without prior notice.

The Organizing Committee is partially exempt from responsibility for issues arising during the conference (e.g., natural disasters, technical problems).

5. Registration Fees and Refund Policy

Members must pay the registration fee specified during conference registration, and refund requests will be processed according to the refund policy.

Refund requests submitted after the refund deadline are not eligible for a refund.

During the early bird period: Full refund (100%)

After the early bird period: 50% refund

On or after the conference day: No refund

To request a refund, please email 3rincs2025@gmail.com, including your ID, name, reason for the refund, and the account for receiving the refund.

Refund processing may take up to one month. For credit card payments, cancellation fees may be charged depending on your card issuer, and the refund period may vary according to the issuer's policy.

6. Privacy Protection

Members’ personal information is used solely for the purpose of operating the conference and will not be shared with third parties.

Members may request access to and modification of their personal information in accordance with the privacy policy.

7. Limitation of Liability

The Organizing Committee does not guarantee the accuracy of information provided during the conference and is not responsible for decisions made by participants based on such information.

8. Dispute Resolution

Disputes related to these terms are governed by the laws of the country where the Organizing Committee is located.

Disputes shall primarily be resolved through mutual consultation between the parties.

9. Amendments to the Terms

These terms may be amended with prior notice, and members agree to comply with the revised terms to continue using the service.

Matters not specified in these terms are governed by relevant laws and established practices.

Consent to the Collection and Use of Personal Information (Required)

1. Purpose of Collecting and Using Personal Information

The 3RINCs 2025 Organizing Committee collects and uses personal information for the following purposes: Conference registration, participation confirmation, and management Notifications and announcements regarding the conference program, presentation materials, and schedule Smooth communication with participants (e.g., responding to inquiries) Registration fee invoicing and payment processing Promotion of future conferences and related events

2. Personal Information Collected

The following personal information is collected:

Mandatory Information (Membership Registration): Name, country, contact information (phone number, email address)

Mandatory Information (Conference Registration): Affiliation (organization name, department, position) Optional Information (Conference Registration): Gender, date of birth, educational background, career history

3. Retention and Use Period for Personal Information

Collected personal information will be retained until the purpose of its collection and use is achieved.However, in cases where retention is required by relevant laws, the information will be retained for the specified period:

Act on the Consumer Protection in Electronic Commerce: 5 years (payment and transaction records) Protection of Communications Secrets Act: 3 months (log records)

4. Provision of Personal Information to Third Parties

In principle, the collected personal information is not shared with third parties.However, it may be provided in the following cases:

When required by law

5. Outsourcing of Personal Information Processing

For smooth service provision, personal information processing tasks may be outsourced as follows:

Tasks: Registration system operation, payment processing, email distribution, etc.

6. Measures to Protect Personal Information

The Organizing Committee implements the following measures to protect personal information:

Restricting access to and managing permissions for personal information Storing and transmitting data in encrypted formats Conducting regular security checks

7. Consequences of Declining Consent

Consent to the collection and use of personal information is mandatory. Declining to provide consent may result in restrictions on conference registration and participation.
